Add custom fields to your records (Data Model)
Capture the extra data your organization tracks and use it in reporting.
Custom fields let you store information Equips doesn't capture by default — for example a campus, a warranty period, or a cost code. Once defined, a custom field is available on records of that type and flows into your reporting views. You can define custom fields separately for Equipment, Service Requests, Locations, and Costs.
Open Settings → Organization → Data Model. Each record type is a collapsible section showing how many custom fields it has.
Add a custom field
- On the Data Model tab, expand the section for the record type — Equipment, Service Requests, Locations, or Costs.
- Click Add Custom Field.
- Enter a Field Name (the label users see on forms and reports) and an optional Description explaining its purpose.
- Choose a Data Type: Text, Number, Date, Boolean, Select (single choice), or Multi-Select.
- For Select or Multi-Select, add the options users can choose from.
- Check Required if the field must be filled in.
- Click Save. The field appears in that section and on records of that type.
Edit or remove a field
Use the pencil icon to rename a field, change its options, or toggle Required; use the trash icon to delete it. Deleting a field removes the data captured in it, so confirm before removing.
