Create and use checklists
Build reusable checklists once, then run them on the work that needs them.
A checklist is a reusable set of steps — for example a pool inspection, a fire sprinkler check, or a move-out walkthrough. You build a checklist once in your organization settings, and it's then available to attach to service requests so a technician can confirm each step is done.
Before you start: the checklist feature must be turned on for your organization. An admin enables it under Settings → Organization → Modules → General with the toggle "Use checklists to manage work."
Create a checklist
- Open Settings (top-right Admin menu), choose Organization, then the Checklists tab. Existing checklists are listed here, with a Search box to find one.
- Click Create Checklist.
- Enter a Name.
- Under Steps, type the first step, then choose how it's answered from the type dropdown: Checkbox (a simple done / not-done check), Single (pick one option), Multiple (pick more than one), or Text (type in a free-text response, such as a reading or note).
- Click the + to add more steps. Drag the handle on the left of a step to reorder.
- Click Save. The checklist now appears in the list and is ready to use.
To edit a checklist's name or steps later, use the pencil icon on the Checklists tab; use the ✕ icon to delete one you no longer need.
Use a checklist on a service request
- Open the service request and click the Checklists tab in the center tab row (alongside Notes, Costs, and Time Tracking).
- Add the checklist you want to run on the request.
- Work through each step — check items off, choose options, or fill in text as the work is done.
- Finish the remaining steps before you close the request so the record is complete.
The service request list also has a Checklist column you can add (via Columns) to see checklist progress across requests at a glance.
