How cost approvals work

Approve or deny costs, and follow each one through its approval chain.

When a cost is sent through an approval workflow, it goes to each approver in order. It stays Pending until everyone in the chain has approved it. If anyone denies it, it stops there.

Approve or deny a cost (for approvers)

When it's your turn in the chain, the cost's page shows an Approval Required banner at the top: Action needed on cost approval.

  1. Open the cost and review the details and attachments.
  2. At the bottom of the page, click Approve Cost or Deny Cost.
  3. Add a comment:
    • Approving: comments are optional and go to the next approver. The cost moves on to the next step in the workflow.
    • Denying: a reason is required. The cost is denied and the person who submitted it is notified.
  4. Click Confirm Approval or Confirm Denial.

Your response shows on the Approval Timeline as Approved or Denied, with the date and your comment.

Follow an approval

  1. Go to Admin → Costs and click the Pending tab.
  2. Click the cost's Pending badge to open it.
  3. Scroll to Approval Timeline.

The timeline shows the workflow's name, the date it started, its overall status, and each approver:

  • Approved: that person approved it, with the date and any comment.
  • Denied: that person denied it, with the date and their reason.
  • Awaiting approval (highlighted): it's waiting on this person right now.
  • Pending: a later step that hasn't been reached yet.

Good to know

  • Auto-approval for the creator: if the person who created the cost is also an approver in the chain, their step is approved automatically and marked Auto-approved by creator.
  • Start over: edit the cost and pick a workflow under Submit for approval to start a new round. This is how you resubmit a denied cost after fixing it.
  • Cancel: edit the cost and check Withdraw current pending approval.

Tip: If a cost has been sitting on the Pending tab for a while, open its Approval Timeline. The highlighted Awaiting approval step tells you exactly who to nudge.
