Set up approval workflow templates
Decide who approves costs, and in what order.
Admins only. Open Admin → Approval Workflows.
An approval workflow template is a named chain of approvers. When someone adds a cost, they pick a template, and the cost goes to each approver in turn.
Each template on the page shows its name, its Approval Chain (each approver and their step number), and when it was created.
Create a template
- Click + Create Template.
- Enter a Template Name (required), for example Standard Approval.
- Add a Description saying when this workflow should be used.
- Under Approval Chain, use Add Approver to search for and add people in the order they should approve. The first person you add is Step 1.
- Drag an approver to change their place in the order, or click the ✕ next to their name to remove them.
- Click Create Template.
Approvers sign off in order: Step 1 first, then Step 2, and so on.
Edit or delete a template
Use the pencil to edit a template, make your changes, and click Update Template. Use the trash can to delete it.
Tip: Templates don't set dollar limits on their own. If you want different approvers for different amounts or regions, create a separate template for each and name it clearly, for example Under $5K or North region, so people pick the right one.
