Understand a user's page
See a person's workload, time, activity history, and notification settings in one place.
Every user has a page that pulls together what they're working on and how they've been working. Open it by clicking the person's name in the Users table, or by choosing ⋯ → View User.
The page has three parts: the profile card at the top, the Workload section in the middle, and a row of tabs at the bottom.
The profile card
Shows the user's name, Active status, email, phone, organization, role, and tags. Use Edit to change their details, and Options (top right) to deactivate the account.
Workload: Summary view
Summary is the default. Pick a period with the dropdown (Day, Week, or Month) and step backward or forward with the arrows. The period you choose filters the KPIs and every tab below it.
The three KPI cards:
- Open WOs: every work order currently open and assigned to this user. This number always reflects right now, whatever period you've picked.
- Worked On: how many work orders the user logged work on during the period, with the change versus the previous period.
- Total Hours: the time the user tracked during the period, with the change versus the previous period.
Workload: Heatmap view
Click Heatmap to see the user's activity day by day across roughly the last six months. Each square is one day; darker squares mean more activity, and grey means no data. Hover over a square to see that day's number.
Switch what the heatmap measures with the toggle at the top right:
- Job completions: jobs the user completed each day. The header shows Total Jobs, Active Days, Avg / Day, and Peak Day.
- Action record time: hours the user recorded each day. The header shows Total Hours, Active Days, Avg / Day, and Peak Day.
- Activity (notes): notes the user posted each day. The header shows Total Notes, Active Days, Avg / Day, and Peak Day.
Use the heatmap to spot patterns the weekly numbers hide: a technician whose completions dropped off, days nobody recorded time, or a spike after a big event.
The tabs
Open Work
Lists the user's open service requests with their status, location, and how many days each has been open. If any have been open for 15 days or more, an Attention banner at the top tells you how many. The tab shows the first 10; click View all in Service Requests to see the full list in the Service Requests table.
Time Tracking
Every time entry the user recorded in the selected period, grouped by day, with a daily total and an overall total at the top. Each entry shows the type of time (for example Work), the service request it was logged against, the start and end time, and the duration.
- Edited means the entry was changed after it was recorded. Click it to see who changed it and when.
- Click the circle-slash (Void) to void an entry that shouldn't count.
Audit Log
A running record of what this user created or changed: service requests, notes, actions, and more. Each entry shows what happened (Created, Modified), the type of record, a link to it, and the time. Click Show changes to see exactly which fields changed. Use the All Activity dropdown to narrow it to Service Requests, Notes, Invoices, Equipment, Locations, Attachments, Users, Contracts, or Coverage.
Notifications
The user's notification settings, which an admin can review and change here:
- Requested SMS Number: the mobile number for text alerts.
- Unsubscribe From All: choose Receive notifications or Unsubscribe.
- Scheduled, Events, Category, Location, Proposed Equipment: sub-tabs for each kind of alert. Scheduled covers recurring digests sent on a schedule; Events covers alerts sent when something happens.
Click Save after any change. Even when unsubscribed, users still get email updates for service requests they created and for requests where they're added as a contact.
Tip: Before a one-on-one or a workload review, set the period to Month, glance at the heatmap, and then scan Open Work for anything flagged in the Attention banner. That's usually enough to know where the conversation should start.
