User roles explained
What each role can do in Bricks, and how to pick the right one.
Every user in Bricks has exactly one role. The role controls what the person can see and do once they log in. You pick it when you create the user, and you can change it any time from their user page: Edit → Authorization → Role.
There are three roles, listed here from the most access to the least:
- Customer Organization Admin
- Customer Location Admin
- Customer Employee
Customer Organization Admin
The account owner role. Organization Admins run Bricks for the whole organization.
- See every location, piece of equipment, and service request in the organization.
- Open the Admin menu (the gear icon, top right) to manage Settings, Users, Import, Workflows, and Service Providers, plus costs and invoices where those are turned on.
- Add, edit, and deactivate users, and approve people on the Awaiting Approval tab.
- Create and edit locations.
- Give any role to any user.
Best for: facilities directors, maintenance managers, and whoever owns the Bricks account. Keep this to a small group.
Customer Location Admin
A manager role for people who oversee specific sites rather than the whole organization.
- Work with service requests, equipment, and locations at the sites assigned to them in Available Locations.
- Do not get the Admin menu, so they can't change organization settings, workflows, or users.
Best for: site managers, building leads, and regional supervisors who run their own sites day to day.
Customer Employee
The standard role, and the default for every new user.
- Create, work, and follow service requests.
- Use the Work view, check in and out of jobs, track time, and add notes, photos, and files.
- Look up equipment and locations.
- See only the locations assigned to them in Available Locations (or every location if Allow All Locations is on).
- Do not get the Admin menu.
Best for: technicians, maintenance staff, and anyone who does or tracks the work.
Who can give which role
You can only give a role that is at your level or below it. An Organization Admin can assign any role. A Location Admin can't make someone an Organization Admin.
Quick comparison
- Organization Admin: all locations, Admin menu, manages users and settings.
- Location Admin: assigned locations only, no Admin menu.
- Employee: assigned locations only, no Admin menu, does the day-to-day work.
Tip: Give people the least access that lets them do their job. Most staff should be Customer Employee. Save Customer Organization Admin for the few people who manage users and settings, and use Available Locations to keep everyone else focused on their own sites.
