Onboard assets in the field with Capture

Add equipment and locations from a phone or tablet using QR codes.

Capture (Create → Capture) is the fastest way to add equipment and locations from the field. It's a three-step flow: Print, Capture, Verify. Field staff handle Print and Capture; an admin (or the same person) reviews in Verify.

Step 1: Print labels

  1. Open the Print tile and choose a label size and template (0.75" up to 2.5"; each has an Order labels link).
  2. Set the Number of pages; the number of labels updates automatically.
  3. Optionally customize the QR code (Invert Colors, Logo, Hide Logo), then click Print.
  4. Follow the Print guidance panel: use a laser printer, print at 100% (no scaling), print one sheet at a time, run a test sheet first, and choose waterproof stock for harsh or wet spots.

Step 2: Capture in the field

  1. Open the Capture tile to walk through a five-step wizard for each asset: Location, Photos, Label, Notes, Finish.
  2. Location — select the parent location (use + to add a sub-location on the spot).
  3. Photos — take a front-facing shot, one showing where it sits, and close-ups of any labels.
  4. Label — affix an Equips QR label and capture it with the camera.
  5. Notes — add context (typed or with experimental speech-to-text), then Save Capture. It's queued for review.

Step 3: Verify captures

  1. Open the Verify tile to reach Capture Verification, a list of pending captures.
  2. Click a capture to review its Location, Created By, Notes, QR Code ID, and Photos.
  3. Choose what it represents: New Equipment, New Location, Existing Asset, or Discard Capture.
  4. For New Equipment, fill in the form (Category required) and click Save Equipment to add it to your live inventory.

Where do captures go? Captured items also appear on the Proposed tab of the Equipment list until they're verified. Verifying promptly keeps that queue from piling up.
